The Management Review Standard (AQL-F01) is a procedure written to be adopted: fill in the bracketed fields, delete what doesn't apply, add your customers' requirements and issue it under your own document control. These are the choices it asks you to make:
| Choice | What we suggest | Why |
|---|---|---|
| Chair | The general manager or plant manager, every time | A review without the person who owns the budget can't decide resources |
| Frequency | Quarterly, in the fourth week after the quarter ends; the first of the year is the annual review | Decisions stay close to the data; 'status of previous actions' stays a real check |
| Attendance and quorum | Chair, coordinator and at least three heads of department | Fewer, and the decisions don't stick |
| Lead times | Reminder 15, inputs 10, chair preview 5, pack 3 working days; minutes within 5 after | Time to check every input and agree the decisions sought |
| Extra reviews | Written triggers: a flight-safety escape, a major nonconformity, loss of an approval, a change of ownership or site | Nobody has to decide in the moment whether an event is big enough |
| Outputs | Improvement, change to the QMS, resource need, risk action; each with one owner and a date | The four kinds of output the review is expected to produce |
| Action follow-up | Monthly at the quality meeting; escalation to the chair at 5 working days overdue | Three months is too long for an action to go unchecked |
| Records | Pack with record index, agenda, signed minutes, register; 10 years or the customer's longer period | What an auditor will ask for, in the order they ask |
Keep the standard short. It says what happens and who does it; the calendar, data pack, agenda, minutes and register carry the detail. Before issuing it, run the checklist in its section 13: every bracket filled, the chair agreed, every input owned, the outputs complete, the records located.
