The chair's running order
- Open on time; record attendance; approve the last minutes.
- Show the executive summary slide (F07): six figures and the decisions the review needs.
- Take the inputs in agenda order. For each: the presenter gives the headline, the trend and the decision sought; the room discusses; the chair states the conclusion (effective, needs action, not adequate) and any decision, with one owner and a date.
- Keep the time. A topic that needs more than fifteen minutes gets its own meeting, and its outcome comes back.
- State the four conclusions on the quality system (suitable, adequate, effective, aligned with the business's direction), with the reason for each.
- Read back every output with its owner and date; correct anything that can't be stated clearly.
- Confirm the next review date and anything added to its agenda.
When things go off script
| Situation | What we do |
|---|---|
| An input is missing | The review goes ahead. The minutes record the input as not reviewed, with an action and a date to bring it to the chair. |
| The discussion runs over | The chair parks it: a separate meeting with the people who need to be there, and its outcome as an item at the next monthly quality meeting. |
| A request nobody saw coming | No decision in the room on money nobody has costed. An action to bring a costed case to the chair within two weeks. |
| Disagreement on the data | Note the disagreement and the action to settle it; decide on what is known. Then fix the definition before the next pack. |
| The chair can't attend | Move the review by days, not months. The chair is not delegated. |
