We have sat in a great many management reviews. The ones that don't work fail in the same few ways:
- Held for the auditor. The review is scheduled because the surveillance audit is next month. The data is a year old, the meeting is three hours long, and nobody expects it to change anything.
- A report-out, not a decision meeting. Each department shows its slides. Everyone nods. The meeting closes with 'good discussion' and nothing assigned.
- Missing inputs. Supplier performance isn't there because the buyer was on vacation; risks and opportunities are skipped because the register hasn't been opened since the last audit.
- No trend, no definition. A single quarter's number on each slide, counted a different way from last time, invites a story about the quarter rather than a judgment about the system.
- The chair is the presenter. The quality manager runs the meeting and presents everything. The people who own budgets and schedules listen politely, and resource decisions don't get made.
- Actions that vanish. The minutes list actions at the bottom. The next review starts from a new agenda, and the same resource gap is discussed again as if for the first time.
- Minutes that record talk. An auditor reading them can't find the conclusions on the quality system, the decisions, who owns them or by when.
None of these is fixed by a better slide template. They are fixed by a written process with a chair, a calendar and an owner for every input; a pack that states the decision sought for each input; a meeting that records conclusions and outputs as they are made; and a register that follows every output until someone has checked it worked. That is what this kit gives you.
