The board meets every week at a fixed time, for thirty to forty-five minutes, whether or not it feels busy. Cases are prepared before the meeting: the quality engineer brings each new case with section A of the MRB record filled in and containment confirmed, so the meeting is spent deciding, not reading.
A weekly agenda that works
- Cases over the age limit, oldest first, from the hold-area walk (D18). One decision each.
- New cases: for each, the evaluation (form, fit, function, safety, interchangeability, other product), then the disposition, then the authorizations needed.
- Customer authorizations outstanding: who is chasing each one, and what happens if there is no answer by the next board.
- Cases ready to close: confirm the product action, the marking and the CAPA decision.
- Flags: every Needs attention flag on D19 and D20, cleared or assigned.
- Patterns: any defect, part, operation or supplier appearing for the second time this quarter goes to the corrective action process.
Decisions are written onto the MRB record during the meeting, not afterward. The quality engineer updates both logs the same day.
