The Customer Complaint Response Kit HandbookChapter 2 of 21

What is in the kit

Five tools, each built for one part of the work, and this handbook to run them as one system. They share the same example plant, the same numbers and the same record numbers, so you can follow one complaint through all of them.

AQLToolFormatWhat it does in the system
B14Customer Complaint Log and Response TrackerExcelEvery complaint, from the first call to closure, against the customer's dates
B15Customer Complaint Response Letter TemplateWord, PDFEvery letter to the customer: acknowledgment, containment, response, closure, not substantiated
B12Quality Escape Investigation TemplateWord, PDFProduct reached the customer: timeline, containment, detection point, actions
B038D Problem-Solving WorkbookExcelEscapes, repeats, safety issues and problems that cross departments, or when the customer asks for an 8D
B16Customer Scorecard and Escape TrackerExcelHow each customer rates you, month by month, and every escape with where it got through

The kit works alongside the CAPA Command Kit (AQL-K01). A complaint that needs a corrective action opens one there, and the corrective action's effectiveness check (AQL-B08) is what lets the complaint close. The complaint log tracks the customer's side of the story; the corrective action records track the shop's side. Link them by reference number on both.

A management aid, not certification or a registrar audit. Using it does not by itself show conformity to AS9100D or any other standard, and your customers' requirements may add to it.

Clause numbers refer to AS9100D (SAE AS9100 Rev D) unless another document is named. The standards' text is not reproduced here: use your own licensed copy.
