The Customer Complaint Response Kit HandbookChapter 6 of 21

Validating the complaint

Before you contain and investigate at full scale, check the claim. Validation is not about proving the customer wrong; it is about knowing what is true. Pull the parts or the data, measure them the way the customer did and the way the drawing says, check the drawing revision, the purchase order and the shipping records, and decide: Substantiated Yes, Partly, or No. Record the verdict and the evidence on the log.

Do not wait for validation to start containment when product is at risk. Holds cost little and can be lifted; a second escape cannot be undone.

Where disputes usually come fromHow we settle it
Different drawing or specification revisionCompare the revision on the purchase order, the traveler, the certificate and the customer's inspection record.
Different datum or setupMeasure to the drawing's datums with the customer's setup and with ours, and compare.
Different method or direction (for example roughness along or across the lay)Agree the method the drawing calls for; measure jointly.
Gauge or instrument differencesExchange a part; check both gauges' calibration and capability for the feature.
Damage in transit or handling at the customerPhotos of the packaging as received; compare with your packing instruction and the carrier's record.
Interpretation of a drawing note or a general requirementAsk the customer's design authority in writing; record the answer for every future lot.
