The kit, step by step

Each tool is free on its own page, with its own worked example from the same story.

  1. 1
    Workbook · AQL-B03

    8D Problem-Solving Workbook

One tab per discipline, D0 to D8, rolled up to a status page: an is / is-not table, containment that is verified, root and escape causes confirmed with data, an effectiveness criterion set before the actions go in, and prevention carried to similar processes.

  2. 2
    Template · AQL-B12

    Quality Escape Investigation Template

For product that reached a customer: the timeline, every suspect part by location, what the customer was told and when, the detection point that failed and why, and actions at both the cause and the escape point.

  3. 3
    Workbook · AQL-B14

Customer Complaint Log and Response Tracker

Every customer complaint on one line, from the first call to closure: acknowledged, contained, answered and accepted, each against the customer's own dates, with the lines that need action flagged and the counts management review asks for.

  4. 4
    Template · AQL-B15

    Customer Complaint Response Letter Template

Five letters for the life of a complaint: acknowledgment, containment notice, the response with root cause and actions, the effectiveness and closure update, and the answer when a complaint is not substantiated. Factual, complete, and written from the investigation record.

  5. 5
    Workbook · AQL-B16

    Customer Scorecard and Escape Tracker

How each customer sees you, month by month: their ratings and status next to your own PPM, on-time delivery and complaints, and every escape with where it got through and why, so a falling rating or a repeating escape route shows before the customer raises it.

The problem it solves

Most complaint handling in small aerospace shops is good on the day and weak over time. The urgent complaint gets the plant's best people; the routine one sits in a buyer's inbox. Containment stops at what the customer reported. The response explains why the part was made wrong and not why every check let it through, and is sent back. The record closes the day the customer accepts, and nobody checks whether the problem stayed away. Meanwhile the customer's scorecard records every event, and the first time the shop sees the pattern is a status change. This handbook is the operating manual for the Customer Complaint Response Kit: one workflow, who does what, which tool to use at each stage, how to talk to the customer at each step, the weekly and monthly rhythm, and a thirty-day setup that needs no new software.

Who uses it

Quality managers and directors who own customer complaints, the general manager who sponsors the work, and the customer service, sales and program staff who take complaints in.

When

When complaints are handled by whoever picks them up; when responses come back from customers; when a customer's rating or status has dropped; when you take over a quality system; or a quarter before a surveillance or customer audit.
