The Approved Supplier List Register (AQL-C03) holds one line per supplier and site, including the sub-tier special process sources you control through a direct supplier. Each line carries the approved scope, the status and its conditions, the quality system and accreditation with their expiry dates, customer approvals, the risk rating, the latest scorecard rating, open SCARs, the receiving inspection level and the re-evaluation dates. Five columns fill themselves in: the next evaluation date, the certificate status (60 days ahead), the evaluation status, a plain-words answer to 'Purchasing may order?', and a control check that catches a restricted supplier whose receiving was never changed.
| Status | Purchasing | Receiving and quality |
|---|---|---|
| Approved | Orders within the approved scope | Inspection at the level on the line |
| Approved with conditions | Orders only within the written conditions | Inspection raised as the conditions say |
| Approved for first articles or trial only | Orders for the named first articles or trials only | First article inspection on every part number |
| Probation | Only where needed; no new part numbers | Every lot for the failure mode; look back at lots already received |
| Pending qualification, disqualified, inactive | No orders | Review any stock on hand |
Every change of status or scope gets a line on the Status changes tab, with the date purchasing and receiving were told. A change is not complete until both have changed what they do.
