Every change ends in documents and programs: new revisions to approve, issue and put at the point of use, and old ones to withdraw. The Documented Information Control Register (A13) follows each controlled document through that life. AS9100D 7.5.3 sets what has to be controlled; the practice that keeps old revisions off the floor is simple to say and easy to skip.
| Stage | Our practice | What A13 records |
|---|---|---|
| Identify | Number, title, revision and approval date on the face of every document and in the header of every program | Document register |
| Approve | A second person who knows the work approves before issue; programs and inspection plans are proved on real parts first | Approved by, approved on |
| Distribute | Issue to every listed point of use; electronic first; numbered paper copies only where a screen is impractical | Points of use; issue log |
| Withdraw | Someone walks to every point of use, takes the old copy away and signs; program revisions are read off the control | Old copies removed; confirmed by |
| External documents | Each customer specification and requirement checked against its source on an interval and whenever an order calls it | External documents tab |
| Records | Retention from customer contracts, kept per record type, protected and disposed of on record | Records retention tab |
| Check | Two or three point-of-use checks a week, at different places and shifts | Point-of-use checks tab |
Programs are documents
CNC and CMM programs are controlled documented information in every sense that matters: they define how the product is made and accepted, they have revisions, and old revisions do damage. Put them on the register, keep released programs in one network folder with read-only access for the floor, and make clearing old revisions from machine memory part of every program issue (AS9100D 8.5.1.1 also asks that production programs be validated before use).
